When you reserve Lake Sumter DJs for your celebration/party or any type of event, you will receive your OWN PERSONAL PASSWORD PROTECTED planning tools as sampled below. With these tools you will be able to log on at anytime of the day and work on all necessary details that pertain to your planned event. You will be able to SAVE your work by clicking the save button ( which we highly recommend you do about every five minutes of working time) and then you can come back at any time and continue working.
THESE INFORMATIONAL TOOLS take the place of in person consultations, although you are always entitled to in office by appointment consultations if you desire, by phone consultations with appointment if you desires, and through email consultations. These informational tools also provide us with the information that we need to ensure that your event flows EXACTLY as YOU PREFER as we customize your event through these tools and through any consultations
. WITHIN THIRTY DAYS PRIOR TO YOUR EVENT you will be automatically locked out and will not be able to use these tools, unless we unlock you. This is because within thirty days prior to your event, WE begin to customize all of your details to your specifications, build your special requested music library (which may require the purchase of LEGAL MUSIC), build your guests music request playlist if you have allowed them access to pre-select any advanced request, etc.
ONCE WE HAVE COMPLETED the " rough draft " of your details, we submit to you all copies to review and approve of or make changes/additions/deletions. Once you have fully approved of all details of your personal customized and detailed planning tools, we will then mail you a copy of all information (via snail mail) for your final approval which will require a signature due to our guarantee. Once we receive your signed copy back, we will then mail (either by email or snail mail) a copy to your photographer, videtographer, caterer, event location management, etc
SO THAT WE ARE ALL ON THE SAME PAGE so to speak ,to ensure the ultimate success of your event. We will also contact each vendor by email to make sure that they receive your approved copy and to answer any questions they mail have. It is very important to include their contact information on your planning tools in the place provided, EVEN if they are just friends of the family.
OF COURSE THINGS USUALLY ALWAYS CHANGE and this is why we do our best to adapt to any changes (except music we may not have) as long as we have at least seven to ten minutes to alert all of your vendors of the changes and to prepare music or whatever may be needed for the change. We make our changes if necessary in such a way they nobody knows except for us. Please note that once you reserve our services, you will receive (1) a date confirmation form which constitutes our digital signature of acceptance to provide services (2) an automated message that will explain how to access your PERSONAL PLANNING TOOLS, (3) an automated message that will explain to your family and friends how they can access our in advanced music request information which has nothing to do with your personal planning tools or personal music request. Your guest will be allowed to select up to 5 special requests with your prior approval up until 30 days prior to your event date. WE RECOMMEND that if you wish to allow your family and friends to have the option to make advanced request that you forward the email to them that explains how to place their request, or include the directions inside of an invitation envelope. Upon YOUR request, we will mail you small slips of directions that you can include with each invitation should you choose to do so. We will screen each request to make sure that it is lined up with your music choices and appropriate for your event and that it will mix well into the music mix for your event. Please note that even though
we have a huge music library, we cannot guarantee to have each request, unless it is a special song requested by you personally.
ALSO PLEASE NOTE: It is not required that you build your own music listing, this is your option. We do recommend that if you do, it is important to build a music listing that all of your guests can enjoy, OR THEY WILL NOT DANCE, AND WILL LEAVE EARLY, but this is your event, so we want everything to be done YOUR WAY and YOUR WAY ONLY. We do recommend though that if you build your own music library,
please take a look at our huge extensive music library to get an idea of the most requested songs. Note: to find any song not listed, scroll to them bottom of the page on our
most requested page and manually enter either the artist or song name. Most country and Christian music will not appear on our most requested however, you can find any song by simply entering the artist or exact song title in the search box
at the bottom of our most requested page. If you ever need assistance, please be sure to contact us at anytime. Also, one final note: We do put out music request slips on each table for 30 minutes following the meal. This is so that your guest can make on the spot request with your approval. Although we cannot guarantee to have ever requested song. We will also make sure that each request lines up with your music choices and mixes well with the music mix. If you do not request that we put out these slips, simply check NO on your personal planning form. (4) you will also receive a receipt for your deposit and any payments made, PLEASE retain for your records.
Due to the fact that we try to keep our rates as low as possible in today's economy, we do offer all of our clients the use of our planning tools, timeline tools, music request tools and guest request tools however, we DO NOT professionally coordinate our clients event, UNLESS this option is selected under our instant quote form. If you reserve our services at our base price of $295.00, you will have to assign someone to coordinate all of the details of your event to ensure the successful flow of every detail. The assigned person(s) will have to inform everyone of what is going on, including all of your vendors. We will however make any requested announcements necessary with at least a seven minute notice. It is important to make sure that everyone is in the area to partake of your special highlights and this will also be left up to your assigned person(s) to make sure. For instance, you would not want us to announce that the Bride will dance with her Dad and one of them are no place to be found. This happens without the services of a Professional Coordinator.
We do include our Professional Coordination services upon request when you reserve 5 hours or more. We highly recommend Professional Coordination services for wedding receptions. Not including actual wedding ceremony, but is available also as an option.
WHY IS IT SO IMPORTANT TO HAVE A PROFESSIONAL COORDINATOR?
Great Question to consider, especially for weddings which is what we will base this question from! Although we can't give away all of our secrets for success, we will share some of the most important.
A Professional Coordinator or (PC) works with you from day one (in our case) by use of the online planning forms, in office consultations, phone consultations and email consultations. As described above, once all of your details have been finalized, a PC will coordinate all necessary details with you, your wedding party and all professional vendors. On the day of your reception, your (PC) will work very close but kind of in secret with you, your wedding party and all vendors to make sure that everything flows smoothly without a huge surprise that you will just want to forget. A (PC) will professionally line up your wedding party for the formal introductions and " track down " anyone not present so that the introductions can get underway as your guest are awaiting your grand entrance and of course they all are waiting to eat. Once your reception is underway, your (PC) will follow your guideline that has been previously approved by you and will alert you, your guest and vendors of all highlights about to take place. A (PC) will guide you through each step of all your special highlights upon request. This is just a brief sample of the importance of a (PC).
Take for instance ( and this happens more than you can imagine) the person (not a PC) comes up to your DJ/MC and says that the Bride will be dancing with her dad NOW, well we require a seven minute notice to setup, but anyway, your DJ (not knowing your dad) announces, ladies and gentlemen, Susie and her Dad Mr John Smith will be sharing their special dance together in just a few moments. NOW all of a sudden, Susie's dad has to make a bathroom break, or whatever. So, without further notice (because the assigned coordinator has gone someplace else) your DJ/MC calls Susie and her Dad up to the dance floor for their once in a lifetime " special dance " but, Mr Smith is not yet back into the room so guess what? Susie is standing in the center of the dance floor feeling really strange and everyone is wondering " what kind of DJ did they hire, BECAUSE the guest have NO IDEA that WE are not your (PC). This really can be bad if Mr Smith or Susie has already had a few drinks.
Your (PC) is usually your assigned DJ/MC or assistant, and they take time to get to know all of the important details of your reception and the important people that are included into your details. Your (PC) makes sure that all guests that can be found are inside or ready for your special highlight and that each important person is ready to go.
Here is another instance that can happen. Ladies and Gentleman, Jack and Susie will be sharing a toast by best-man/maid/matron of honor in just a few minutes. When the time comes, no toasting drinks have been poured, three of the wedding party members are missing, etc. because your assigned coordinator(s) did not plan this exactly. THIS WOULD NOT HAPPEN WITH A (PC).

Your (PC) will make sure that the Brides runner is straight and ready and that all guests are seated prior to your ceremony.
Your (PC) will make sure that all flowers and decorations are in place and not blown over, etc.
